TERMS AND CONDITIONS
Effective Date: October 25, 2025
1. DEFINITIONS AND PARTIES
These Terms and Conditions govern the relationship between Stroede Travel LLC ("Stroede Travel," "we," "us," or "our"), the Client, and third-party travel Suppliers.
Stroede Travel LLC is an independent travel advisor and booking service. We act as an intermediary between clients and travel suppliers to research, recommend, arrange, and book travel services. We do not own, operate, manage, or control any airlines, hotels, cruise lines, tour operators, rental car companies, or other travel service providers.
Client (also referred to as "you" or "your") means the lead guest who requests and authorizes travel bookings through Stroede Travel. By engaging our services, you represent that you have authority to enter into this agreement on behalf of all travelers included in your booking ("Guests"). You are responsible for communicating these terms to all Guests and ensuring their compliance. You accept financial responsibility for all charges related to your booking.
Suppliers means third-party travel service providers including, but not limited to: airlines, hotels, resorts, cruise lines, tour operators, ground transportation companies, travel insurance providers, excursion providers, and any other vendors that provide components of your travel arrangements. Each Supplier operates under its own terms and conditions, cancellation policies, and liability limitations, which are separate from and in addition to this agreement with Stroede Travel.
By engaging Stroede Travel's services, signing booking documents, or making payment for travel arrangements, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.
2. SCOPE OF SERVICES
Stroede Travel acts as an intermediary between clients and travel Suppliers. We do not own, operate, or control these Suppliers.
Our Services Include:
- Researching and recommending travel options based on your preferences and budget
- Making reservations and bookings with Suppliers on your behalf
- Providing detailed itineraries and travel documentation
- Offering pre-travel support and guidance
- Assisting with travel-related issues during your trip when possible and when requested
Supplier Terms:
You are bound by the terms and conditions of each travel Supplier whose services you book. Flight changes, cancellations, hotel policies, baggage fees, and other Supplier-specific rules are established by the Suppliers and are beyond our control. We will inform you of relevant Supplier policies before booking, but you are responsible for reviewing and accepting them. We cannot be held responsible for Supplier failures, changes, or policies.
3. PAYMENT TERMS AND REFUNDABILITY
All travel bookings require payment according to the schedule defined by the Supplier. These payment schedules will be communited to you in your proposal and itinerary documentation.
Late Payments:
Failure to make payments by the scheduled deadlines may result in cancellation of your bookings by Suppliers, forfeiture of deposits, and/or additional fees. Stroede Travel LLC is not responsible for cancellations or penalties resulting from late payment.
Refund Policy:
Stroede Travel Service Fees: Our planning and service fees are non-refundable once paid, regardless of whether you proceed with travel or cancel your arrangements.
Supplier Costs: Refundability of amounts paid to Suppliers (airlines, hotels, tours, etc.) is determined solely by each Supplier's cancellation policy, which varies by provider and booking type. Common scenarios include:
- Some Suppliers offer refundable bookings with cancellation by a certain date
- Many Suppliers offer non-refundable rates at discounted prices
- Airlines typically charge change and cancellation fees in addition to fare differences
- Last-minute cancellations, early departures or no shows often result in 100% forfeiture of funds
We will clearly disclose the refundability status of each booking component before you authorize the booking. You are responsible for understanding and accepting these terms.
Cancellations Made by Client:
If you need to cancel your travel arrangements:
- You must notify Stroede Travel immediately in writing (email acceptable)
- Stroede Travel may request a cancellation form with electronic signature
- We will contact Suppliers on your behalf to request cancellation
- You will be subject to each Supplier's cancellation terms and fees
- Stroede Travel's service fees remain non-refundable
- Any refunds issued by Suppliers will be processed according to their timelines (typically 30-90 days)
Pricing and Rate Changes:
Travel pricing and availability is subject to change until fully paid and confirmed. We will communicate any price increases before finalizing bookings. Prices may change due to:
- Currency fluctuations
- Fuel surcharges
- Government taxes and fees
- Supplier rate changes
- Errors in initial quotes
Once a booking is confirmed and paid in full, price increases from Suppliers (such as resort fees, taxes, or fuel surcharges) may still apply and are your responsibility.
4. TRAVEL INSURANCE
We strongly recommend that all clients purchase comprehensive travel insurance covering trip cancellation, interruption, medical emergencies, evacuation, baggage loss, and other unforeseen circumstances.
Travel insurance can protect you from financial loss due to:
- Illness or injury before or during travel
- Family emergencies requiring trip cancellation
- Supplier bankruptcy or cessation of operations
- Weather-related disruptions
- Natural disasters, pandemics, or government travel restrictions
- Lost baggage or travel delays
Insurance Options:
You may either:
- Purchase travel insurance through our recommended provider, OR
- Provide proof of comparable coverage from your own insurer, OR
- Sign our Travel Insurance Waiver (below) declining coverage.
Stroede Travel is not responsible for losses that would have been covered by travel insurance, even if you fail to sign the Travel Insurance Waiver when prompted. Many circumstances that lead to trip cancellations, changes, or losses are covered by insurance but are not our responsibility.
5. BOOKING ACKNOWLEDGMENT AND AUTHORIZATION
Before we make any booking on your behalf, we will provide you with a Booking Confirmation Form detailing:
- Complete cost breakdown
- Payment schedule and deadlines
- Cancellation and change policies for each component
- Refundability status of each booking element
- Supplier-specific terms and conditions
By signing the Booking Confirmation Form, you authorize us to proceed with the booking and acknowledge:

☐ I understand the Supplier cancellation and change policies
☐ I have been offered travel insurance and understand my coverage options
☐ I accept financial responsibility for all charges related to this booking
☐ I have authority to book on behalf of all travelers in my party
Booking confirmations must be signed and returned before we process your reservations.
6. RECEIPT AND REVIEW OF DOCUMENTS
Upon booking, you will receive travel documents including confirmations, invoices, itineraries, and vouchers.
You Agree To:
- Review all documents immediately upon receipt for accuracy
- Notify us of any errors or discrepancies within 24 hours of receiving documents
- Review all travel documents (tickets, vouchers, confirmations) well in advance of travel, not at the airport or destination
- Verify passport validity (most countries require 6 months validity beyond travel dates)
- Research and obtain required visas, vaccinations, and entry requirements for your destination
- Confirm flight times and departure terminals 24-48 hours before travel, as schedules may change
Important Notice:
Failure to review documents promptly, report errors in a timely manner, or obtain proper travel documentation (passports, visas) does not entitle you to a refund of our services or Supplier costs. You are responsible for ensuring you can legally travel to your destination.
7. CHANGES TO BOOKINGS
Any changes to your travel arrangements after booking may incur fees from Suppliers.
Change Fees:
- Supplier Change Fees: Vary by Supplier; and may include change fees plus fare difference
- Name changes: Generally not permitted by airlines; other Suppliers may allow with fees
Process for Changes:
- Contact us in writing with your requested change (email will be accepted)
- We will research availability and costs with Suppliers
- You must approve change fees and fare difference before we proceed
- Changes are subject to availability
- Some bookings may be non-changeable
We cannot guarantee that changes will be possible or affordable. We recommend purchasing travel insurance to cover unforeseen circumstances requiring changes.
8. CIRCUMSTANCES BEYOND OUR CONTROL (FORCE MAJEURE)
Stroede Travel is not liable for changes, cancellations, delays, losses, or additional expenses caused by circumstances beyond our reasonable control, including but not limited to:
- Severe weather conditions, natural disasters, hurricanes, earthquakes
- Pandemics, epidemics, or public health emergencies
- Acts of war, terrorism, political unrest, or civil disorder
- Government actions, travel restrictions, border closures, or advisory warnings
- Airline or Supplier schedule changes, delays, or cancellations
- Supplier bankruptcy, cessation of operations, or failure to perform
- Strikes, labor disputes, or work stoppages
- Mechanical breakdowns or technical issues
- Airport closures or airspace restrictions
In Such Circumstances:
- We will make reasonable efforts to assist you in seeking remedies from Suppliers or insurance providers
- We are not financially responsible for providing refunds, alternative arrangements, or compensation
- Your travel insurance (if purchased) may provide coverage for many of these situations
- You remain responsible for any additional costs incurred
This is why we strongly recommend comprehensive travel insurance.
9. SUPPLIER RESPONSIBILITIES AND LIABILITIES
Stroede Travel's Role:
We act solely as an agent in arranging travel services provided by independent Suppliers. We are not responsible for:
- The acts, errors, omissions, representations, warranties, breaches, or negligence of any Supplier
- Any personal injuries, death, property damage, or other damages resulting from Supplier services
- Delays, cancellations, overbooking, strikes, or other causes beyond our control
- Quality, safety, or condition of transportation, accommodations, or other services
- Failure of any Supplier to deliver services as promised
- Food safety, sanitation, or health conditions at destinations
- Safety or security situations at destinations or during transportation
Supplier Direct Bookings:
Some Suppliers may require you to create an account directly with them (e.g., cruise lines, tour operators) or may communicate with you directly. You are responsible for responding to Supplier communications and requests. Failure to provide information or complete required steps with Suppliers may result in cancellation or denied boarding.
Consumer Rights:
You maintain all consumer rights and remedies available to you directly with Suppliers. If a Supplier fails to deliver services or provides substandard services, you should:
- Address concerns directly with the Supplier on-site when possible
- Document issues with photos, receipts, and written complaints
- File formal complaints with the Supplier after travel
- File claims with your travel insurance if applicable
- Contact us—we will assist in advocating on your behalf, but the Supplier is responsible for resolution
10. TRAVEL DOCUMENTS AND PASSENGER RESPONSIBILITIES
Passports and Visas:
You are solely responsible for obtaining and maintaining valid travel documents. This includes:
- Valid passport (most countries require 6 months validity beyond return date)
- Appropriate visas for all countries visited, including connections and stopovers
- Tourist cards or entry permits
- Return or onward tickets if required by destination country
- Proof of sufficient funds if required
- Any other documentation required for entry
Failure to have proper documentation may result in:
- Denied boarding by airline with no refund
- Denied entry to destination country
- Deportation at your expense
- Fines or penalties
- Inability to complete your trip
We will provide general guidance about documentation requirements, but it is your responsibility to verify current requirements with embassies, consulates, or official government sources. Requirements can change, and you are responsible for confirming them before travel.
Health Requirements:
You are responsible for:
- Obtaining required vaccinations
- Carrying vaccination records or health certificates if required
- Securing necessary medications and prescriptions
- Ensuring you are medically fit to travel
- Disclosing any medical conditions to Suppliers when relevant (e.g., cruise lines, adventure tours)
- Understanding health risks at your destination
Minor Travelers:
Special documentation may be required for minors traveling without both parents or with non-parents. This may include notarized consent letters, birth certificates, or custody documents. You are responsible for understanding and providing required documentation for minor travelers.
Names on Bookings:
Names must match government-issued ID or passport exactly. Errors in names may result in:
- Denied boarding by airlines
- Additional fees or rebooking costs
- Inability to travel
Verify all names carefully before we make bookings. Some Suppliers do not allow name changes or corrections.
11. SPECIAL REQUESTS AND ACCESSIBILITY
We will communicate special requests to Suppliers on your behalf, including:
- Meal preferences or dietary restrictions
- Room types or bedding configurations
- Accessibility accommodations
- Celebration notifications (birthdays, anniversaries, honeymoons)
- Frequent flyer or loyalty program numbers
Important Limitations:
Special requests are NOT guaranteed. Suppliers will attempt to honor requests but may be unable to do so due to availability, operational constraints, or other factors. We cannot be held responsible if Suppliers do not fulfill special requests.
For accessibility needs or medical accommodations, you should contact Suppliers directly to ensure they can meet your specific requirements. We will facilitate communication, but you must verify directly with the Supplier that your needs can be accommodated.
12. DISPUTE RESOLUTION AND COMMUNICATION
We are committed to providing excellent service and addressing any concerns you may have.
If You Are Dissatisfied:
You agree to the following dispute resolution process:
- Contact us first: Notify us immediately at info@stroedetravel.com before taking any other action
- Provide details: Explain the issue and provide supporting documentation
- Allow resolution time: Give us 10 business days to investigate and work toward a resolution
- Good faith efforts: We commit to working with you in good faith to resolve legitimate concerns
Many issues can be resolved through:
- Direct communication with us
- Intervention with Suppliers on your behalf
- Travel insurance claims (if applicable)
- Supplier compensation or remedies
Charge Disputes:
If you dispute a charge with your credit card company without first attempting to resolve the matter directly with us:
- You may forfeit your right to receive any voluntary refund or compensation we might otherwise have offered
- You may be responsible for chargeback fees imposed on us by payment processors (typically $15-$100 per chargeback)
- We reserve the right to pursue collection of legitimate charges through legal means
Credit card disputes should be a last resort after all other resolution attempts have been exhausted.
Legal Disputes:
Any disputes arising from these Terms and Conditions shall be governed by the laws of Wisconsin and resolved in Douglas County, Wisconsin. You agree to resolve disputes through mediation or binding arbitration before pursuing litigation, when possible.
13. LIMITATION OF LIABILITY
To the fullest extent permitted by law:
Stroede Travel's liability for any claims, losses, damages, or expenses arising from your travel arrangements is limited to the amount of service fees you paid to us (not including amounts paid to Suppliers).
We are not liable for:
- Indirect, incidental, consequential, or punitive damages
- Lost profits, opportunities, or vacation time
- Emotional distress or mental anguish
- Damages exceeding the service fees paid to Stroede Travel
This limitation applies regardless of the cause of action, including breach of contract, negligence, or other legal theories.
This limitation does not apply to damages resulting from our gross negligence, willful misconduct, or violations of law where such limitations are not permitted.
14. PRIVACY AND DATA USE
We collect and maintain personal information necessary to arrange your travel, including:
- Contact information (name, address, email, phone)
- Payment information
- Passport details and dates of birth
- Travel preferences and special requests
- Guest information for all travelers in your party
Use of Information:
Your information is used to:
- Arrange and confirm travel bookings
- Communicate with you and Suppliers
- Process payments
- Comply with legal requirements
- Improve our services
Sharing with Third Parties:
We share your information with:
- Travel Suppliers to complete bookings
- Payment processors to handle transactions
- Government authorities when required by law
We do not sell your personal information to marketers or unrelated third parties.
Data Security:
We implement reasonable security measures to protect your information, but cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account information and passwords.
15. INTELLECTUAL PROPERTY
All itineraries, recommendations, documents, and materials created by Stroede Travel are our intellectual property. These materials are provided to you for your personal use in connection with your travel arrangements.
You may not:
- Share our itineraries or recommendations with other travel advisors or agencies
- Use our materials to book directly with Suppliers, circumventing our services
- Reproduce, distribute, or repurpose our materials for commercial use
16. TESTIMONIALS AND SOCIAL MEDIA
We may request permission to use photos, reviews, or testimonials you provide for marketing purposes. We will always request your consent before using your name, image, or feedback publicly.
You are welcome to share your travel experiences on social media. We appreciate appropriate tags and mentions but request that you do not share detailed pricing or proprietary itinerary information publicly.
17. AMENDMENTS TO TERMS
Stroede Travel reserves the right to modify these Terms and Conditions at any time. Updates will be posted with a new effective date.
For bookings made before the effective date of changes, the Terms and Conditions in effect at the time of booking will apply. For new bookings after the effective date, the updated terms will apply.
18. SEVERABILITY
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
19. ENTIRE AGREEMENT
These Terms and Conditions, together with any Booking Confirmation Forms and other written agreements between you and Stroede Travel, constitute the entire agreement between the parties and supersede all prior discussions, negotiations, or agreements.
20. ACKNOWLEDGMENT AND ACCEPTANCE
By engaging Stroede Travel's services, making payment, or signing any booking documents, you acknowledge that:

✓ You have been advised to purchase travel insurance

TRAVEL INSURANCE WAIVER
(To be signed if declining insurance)
I, _________________________ (Client Name), acknowledge that Stroede Travel has recommended comprehensive travel insurance to protect against financial loss from unforeseen circumstances including trip cancellation, interruption, medical emergencies, and other covered events.
I understand that without travel insurance, I accept full financial risk and responsibility for:
- Cancellations due to illness, injury, or family emergencies
- Trip interruptions or delays
- Medical expenses and emergency evacuation while traveling
- Supplier bankruptcy or cessation of operations
- Lost baggage or travel documents
- Weather-related disruptions
- Other unforeseen circumstances
I voluntarily decline to purchase travel insurance and release Stroede Travel from any liability for losses that would have been covered by insurance.
