If you’ve ever traveled with someone who worries about every little detail, you probably know the anxious thoughts going through their heads.
“What if our flight gets delayed?”
“What if prices go down after we book?”
“What if something changes?”
Those questions came up more than once this week. One of my clients was flying out of Duluth just as wildfire smoke was causing delays and cancellations across the region. We talked the day before her departure about what we’d do if her flight didn’t go. Would she drive to Minneapolis? Would we rebook? Should she leave earlier than planned? She didn’t need to figure those things out while she was standing in the airport. We figured them out before she ever left home.
The next morning, before I’d even had my first cup of coffee, I was checking air quality reports and flight departures. Once I saw the first morning flight was operating normally, I let her know she could head to the Duluth airport with confidence. She made it to Portland without a hitch and began what I know is going to be a wonderful coastal trip with her grandson to watch whales and see the California Redwoods.
Coincidentally, I had another reminder that same day that timing matters. I was helping two couples plan a trip to Puerto Rico. Prices were bouncing around by hundreds of dollars within just a few hours. While the couples were considering their options, I kept proactively checking pricing. When the pricing dropped to the lowest we’d seen, I didn’t hesitate. I immediately placed a courtesy hold on their flight and hotel package while we finalized the details.
Sometimes travel planning isn’t fancy. It’s about paying attention to the details. Those moments probably won’t be the stories my clients tell when they come home. They’ll tell stories about sunsets, amazing meals, beautiful beaches, and time spent with the people they love. That’s exactly as it should be. My behind-the-scenes work isn’t supposed to become the vacation memory. It’s supposed to protect it.
And maybe that’s what my role is. It’s to protect the things that are important to you. I’ve also spent the last week talking with families about holiday travel. One is thinking about Europe, another is dreaming about Hawaii and a third is planning time together in Mexico. The destinations aren’t really what’s important so much. What these families are protecting is more valuable. Time together while everyone is still able to spend it together.
The older I get, the more I realize that’s what so many vacations are really about. It’s not checking countries off a list, though that’s fun. It’s not finding the perfect resort, though that’s important to protect the experience. It’s not even about taking the perfect picture, though that’s what it looks like on Insta. Vacations are about creating space to reconnect with the people who matter most.
Maybe that’s why I love this work so much. I don’t just help people plan trips; I help remove the little worries that can get in the way of enjoying them. If I’ve done my job well, my clients never even know half the things I was watching behind the scenes.
